See the customer engagement your CRM misses

ActivityLog combines CRM deals and logged activity with the email and meetings that actually happened, per account and per rep.

For you

Your accounts at a glance

Your deals, your touchpoints and the accounts you have not talked to lately, without updating three tools.

My deals and the accounts behind them

Nancy Davolio's deal movement: Alfreds Futterkiste from creation to won on Friday, 12 days later. Next to it, the calls, meetings and emails logged in HubSpot for each of her accounts, shown as counts, so you can see how much contact a win took.

My stalled deals

Nancy's open deals that have sat in one stage for 30 days or more, longest first, with the last contact from HubSpot, Outlook and Teams together. These are the deals to pick up this week. When nothing is listed, none of her deals has stalled.

Forecast on what really happened

Pipeline by stage, stalled deals with their last real contact, and accounts where the team is busy but the CRM is empty.

Pipeline by stage

Open deals by stage, with count and value, from HubSpot stage changes. Stages run from Qualification to Contract Sent, each with its win probability. A stage that keeps filling but never empties is where deals stall.

Pipeline by stage

Stalled deals and the last real contact

Deals that have sat in one stage too long, with the last HubSpot activity next to the last actual email or meeting with that company. The Ernst Handel deal has been in Contract Sent for 45 days, and the champion's last reply in Outlook was six weeks ago.

Busy accounts, empty CRM

Companies with plenty of Outlook and Teams activity but little or nothing logged in HubSpot. Around the Horn had heavy contact with Janet all month and nothing in the CRM. These are the accounts a forecast is guessing about.

Where the data comes from

Sales activity comes from two places: what reps record in the CRM, and the email and meetings that actually happened with the same customers. Side by side, they show where the CRM is behind.

HubSpot

What we collect

Deals created and moved between stages, with amount and close date; companies and contacts created; and calls, emails, meetings, notes and tasks logged against them, with the owner.

How it connects

HubSpot sends record changes to a web address you create in ActivityLog. Logged calls, emails and meetings are read from HubSpot with a read-only private app.

Outlook

What we collect

Mail exchanged with customer email domains: who, when and with which company. Never the message body.

How it connects

The read-only Microsoft 365 connection, approved once by your Microsoft 365 admin. It reads Microsoft's own audit trail.

Microsoft Teams

What we collect

Meetings and calls with people from customer domains, and how long they lasted.

How it connects

The same Microsoft 365 connection.

How it works

  1. Collect deals and real contact

HubSpot reports deals and logged activity. Microsoft 365 reports the mail and meetings that happened.

  2. Match people and accounts

Reps are matched by email. Companies are matched by email domain, so a thread with someone at a customer's domain lands on that customer's account.

  3. Report

Pipeline by stage and value, time in stage, the last real contact for each deal, and accounts that are busy in email and Teams but empty in the CRM.

  4. Act

Reps see which accounts have gone quiet. Managers forecast on what really happened and chase the deals that have stalled.

Questions

Do you read our sales emails?

No. We see that mail was exchanged with a company's domain, by whom and when. We never collect the message body.

How do you know an email belongs to an account?

By the email domain. Mail and meetings with addresses at a company's domain are matched to that company in HubSpot. People using personal addresses, or shared domains such as gmail.com, will not match.

Do we need HubSpot?

HubSpot is the CRM this page is built around. Other CRMs can send their changes to ActivityLog too, but some, such as Salesforce, only offer a change feed on higher-priced plans.
